The objective of this Standard Operating Procedure for Preventive Maintenance of Building and Premises is to outline the steps and guidelines for the effective implementation of preventive maintenance activities for buildings and premises. SOP for Preventive Maintenance of Building and Premises

  • OBJECTIVE:
    • To lay down the Procedure for Preventive Maintenance of Building and Premises.
  • SCOPE:
    • This procedure is applicable to Preventive Maintenance of Building and Premises .
  • RESPONSIBILITY:
    • Engineering – Head or designee shall be responsible for reviewing the SOP and for ensuring proper execution of Preventive Maintenance of Building and Premises
    • User Department – Head shall be responsible for ensuring the preventive maintenance of equipment is done as per schedule.
    • QA Document In-Charge or designee shall review the SOP for cGMP compliance and to meet quality system requirements.
    • Head – QA or designee shall be responsible for reviewing and approving the SOP and ensuring its compliance.
  • ACCOUNTABILITY:
    • Head of department- Engineering shall be accountable for SOP of Preventive Maintenance of Building and Premises.

Procedure of Preventive Maintenance of Building and Premises.

Building and plant maintenance shall be carried out as follows:

Unscheduled maintenance:
  • This activity shall cover intermittent maintenance i.e. damages, breakages and other eventual maintenance related activities observed by the users/engineering.
  • The unscheduled maintenance shall be carried out as follows:
  • Based on checklist materials shall be procured to take the necessary building maintenance activities in the area.
  • Engineering department shall be informed user to plan their activity in area and shut down accordingly.
  • Maintenance activity initiator shall be raised the necessary safety work permit i.e. cold, hot, height, vessel entry etc, accordingly the activity and intimate all concern departments.
  • After compliance the demand maintenance activity shall be record on the format SOP/EN/XXXYYY.
Scheduled Maintenance: in in Preventive Maintenance of Building and Premises
  • This activity shall cover the entire plant and shall be done as per the yearly building maintenance planner.
  • The planner shall be prepared to cover the facility interior, exterior of the building, quality control and other ancillary areas. The engineering department shall be informed to user about this scheduled calendar based on the planner well in advance.
  • Based on planner engineering, user and QA shall be checked the area internal and external as per checklist format: SOP/EN/XXXYYY and SOP/EN/XXXYYY.
  • Based on the checklist, the materials shall be procured material to take the necessary building maintenance activities in the area.
    • Engineering department shall be informed user to plan their activity in area and shut down accordingly.
    • Maintenance activity initiator shall be raised the necessary safety work permit i.e. cold, hot, height, vessel entry etc, accordingly the activity and intimate all concern department.During the building maintenance activity, the following shall be done:
    • The AHUs shall be switched off.
    • All electrical supplies shall be switched off.
    • Equipments shall be covered properly.
    • All openings in the area shall be closed to avoid any dust accumulation in those places.
    • After ensuring the above points, the building maintenance activity shall be initiated, which shall include, but not limited to the following:

  • Check for hollow patches. Rectify it, if found.
  • Check for any seepage in external wall. Rectify it, if found.
  • Check for any damage to RCC structure such as Columns, Beams, and Slabs etc. Rectify it, if found.
  • Check for any development of internal moisture in walls. Rectify it, if found.
  • Check for any termite formation; give anti termite treatment, if required.
  • Check that the plinth PCC is in solid state.
  • Check for leakage through the joints in rainwater/storm water/sanitary pipe. Rectify it, if found.
  • Check wether the drainpipes are in condition. Rectify it, if found.
  • Check the drainage chamber it should be free from solid particles.
  • Check the flow of water through drain Hume pipes, it should be free flow.
  • Check that there is no leakage through concealed pipes. If damaged rectify it.
  • Check whether the staircase at all the floors is meeting zero level.
Building maintenance internal: in in Preventive Maintenance of Building and Premises
  • Check the flooring for antiskidness. Rectify, if required.
  • Check whether all the passages are clear by permanent or temporary obstacles.
  • Check passages turnings curved at all the change in direction.
  • Check all the doors and windows glass. If found any damage rectify it or replace the same.
  • Check the entire doors for proper closing. Rectify it, if required.
Painting of internal walls and production cubicles:
  • Surface preparation:
    • Check the wall for wetness. If wet, allow it to dry.
    • In case of newly construction wall, apply lime mortar, after partial dryness achieved. The lime mortar application will help to absorb wetness in the wall and help reducing the drying period.
    • Remove the lime-cot, dust, dirt, stain, oil and grease by scrubbing the surface with wire brush.
    • Check for voids and cracks, if observed. These voids are to be filled up with cement grout in the proportion of 2:1 (cement : sand)
    • Level the surface with leveling compound i.e. putty/plaster of paris/terracotta/polyurethane as per the requirement.
    • Allow the surface to dry and harden. The drying period will depend on the prevailing climatic condition and temperature.
    • Scrub the surface to be coating with sandpaper to remove waviness and roughness, if any on the surface.
    • Apply leveling compound to remove waviness and roughness and allow the surface to dry and harden.
Coating of the prepared surface in Preventive Maintenance of Building and Premises
FIFO 2
  • The prepared hardened surface is to be checked for undulations and waviness.
  • Apply one coat of primer of adequate thickness on the surface and allow it to dry.
  • Once dry, scrub with sandpaper for final leveling.
  • Apply first coat of adequate film thickness with required type of paint using brush/roller and allow it to dry.
  • Apply final coat of paint and allow it to dry.

Protective Coating in Preventive Maintenance of Building and Premises

  • Top protective coat is to be applied, for achieving required properties i.e. anti-fungal.

Painting of External Walls in Preventive Maintenance of Building and Premises

  • Check the wall for wetness. If wet allow it to dry.
  • Remove the lime-coat, dust, strain, dirt, oil and grease by scrubbing with wire brush.
  • Check for voids and cracks. These voids are to be filled up with cement grout in the Proportion of 2:1(cement: sand).
  • Flush the surface with water and allow the surface to dry.
    • Checking frequency half yearly.
Painting of Metallic Surfaces:
  • Surface Preparation: in Preventive Maintenance of Building and Premises
    • Scrub the surface to be coated with sandpaper to removed waviness and roughness, if any on the surface.
  • Coating of Surface: in Preventive Maintenance of Building and Premises
    • The prepared surface is to be checked for any waviness.
    • Apply one coat of suitable primer of adequate thickness on the surface and allow for drying.
    • Scrub the surface with sandpaper for final leveling.
    • Apply one coat of the required type of paint of adequate film thickness on the prepared surface using brush and allow it to dry.
    • Apply final coat of paint and allow it to dry.
  • Laying/Coating of Epoxy Floor and Coving of Corners:
  • Surface Preparation: in Preventive Maintenance of Building and Premises
    • Check the floor/ corner for wetness. If wet, allow it to dry.
    • Removed the dust, stain, dirt, oil and grease by scrubbing with wire brush
    • Check for voids and cracks. These voids are to be filled up with filter.
    • Level the surface with leveling compound.
    • Apply one coat of primer allow it, to dry.
    • Checking frequency quarterly.
  • Floor Laying, Coving Making and Coating of Surface: in Preventive Maintenance of Building and Premises
    • The prepared hardened surface of floor/ corner is to be check for Undulations and waviness, if any.
    • Apply the gum resin on wall to floor corners.
    • Apply silica sand in form of coving and allow it to set.
    • Lay the epoxy flooring on prepared surface using roller and allow it to dry.
    • Checking frequency quarterly.
    • Epoxy coating should be done at regular intervals to maintain glossiness by roller.
    • After completion of the scheduled maintenance activity, the following shall be done:
    • The area shall be cleaned as per the area cleaning SOP.
    • All the equipments shall be cleaned as per the cleaning SOP.
    • The area shall be disinfected as per the respective SOP.
    • The area clearance shall be taken from Quality Assurance.
    • The area shall be handed over to the user department after getting clearance from Quality Assurance.
    • The record of the scheduled maintenance activity of plant and building maintenance shall be maintained as per format log book SOP/EN/XXXYYY.
    • The maintenance of the equipments of all manufacturing processes in the plant shall be carried out as per schedule of the preventive maintenance in accordance with specific SOP.
    • The maintenance of the equipments of all Utility services such as Air Compressor, Nitrogen gas generation plant, Boilers etc. shall be carried out as per preventive maintenance calendar with specific SOP.
    • The preventive maintenance and sanitization of Water purification, storage and distribution system shall be carried out as per sanitization planner and in accordance with specific SOP.
    • If any maintenance work, which requires revalidation of area, is carried out than the work permit shall have specific requirement of revalidation of area.
    • The breakdown maintenance of critical utility services such as purified water and nitrogen gas shall be carried out with work permission as mentioned above and the services should be re-verified before use.
    • Maintenance of drain traps or drainage line inside the plant shall be carried out with approved safety work permit.
    • Maintenance of material handling equipment in the plant shall be carried out with approved safety work permit.
    • Maintenance of housekeeping equipment in the plant shall be carried out when required.
    • Maintenance of all weighing scale in the plant shall be carried out when required.
    • Maintenance of all canteen equipment in the plant shall be carried out when required.
    • Any electrical work having safety hazards shall be carried out with prior information to safety Health and Environment Department and Plant Head.
    • The maintenance of building from inside the plant shall be carried out after approved safety work permit from respective department head, Engineering and QA head.
